Academic Required: High school diploma/GED.

Experience: Required - Minimum 2 years experience in event coordination, hospitality, customer service, recreation, or related field. Experience working with individuals with intellectual and developmental disabilities (IDD) or similar populations preferred.

Summary: The Event Coordinator supports the Campus Life Department by coordinating events, activities, and rental operations for the Mehling Center and supporting resident engagement on campus. This role ensures excellent hospitality, logistics preparation, communication, and execution for internal and external events, including evening and weekend support as needed. The Event Coordinator works closely with the Director of Campus Life to help deliver meaningful experiences that reflect the mission and values of Breckenridge Village.

Essential Functions:
1. Coordinate logistics, schedules, and set-up for resident events and campus-wide programs.
2. Provide planning support and execution assistance for evening and weekend events as assigned.
3. Manage Mehling Center rental inquiries, booking process, contracts, and event coordination.
4. Serve as on-site point of contact for rental clients and event partners.
5. Ensure facility readiness, hospitality standards, and positive guest experience.
6. Communicate event details and logistics with Facilities, Residential, and Administrative teams.
7. Maintain event calendars and scheduling systems.
8. Assist with preparing supply kits, materials, and checklists for activities.
9. Support volunteer coordination and hospitality needs for events.
10. Maintain accurate records related to events, rentals, and attendance.
11. Ensure safety, inclusion, and positive resident experiences in activities.
12. Perform other duties as assigned.

Measurable Deliverables:
1. Successful coordination of internal and external events with positive satisfaction feedback.
2. Mehling Center rental contracts completed and tracked.
3. Accurate scheduling and calendar management.
4. Timely communication and coordination with internal departments.
5. Supply and event kits prepared and maintained.
6. Attendance or event records submitted accurately and on time.

Other Responsibilities:

Credentials, Skills and Abilities:
1. Maintain current licenses and certificates required for this position including, but not limited to: ☐ Administrator's License ☐First Aid ☐CPR ☐Emergency Behavior Intervention

2. Possess a valid Texas drivers' license, work eligibility status and have a good driving record.
3. Provide proof of work eligibility status upon request.
4. Must pass all pre-employment background checks including: Criminal History, Employee Misconduct, Nurse's Aide Registry, driving check and pass annual background checks.
5. Pass a pre-employment drug screen and random drug screen throughout employment.
6. Knows the indicators of abuse, neglect, and exploitation, and appropriate reporting and documentation procedures.
7. Demonstrate the ability to:
a. Be appropriately firm, flexible, and patient with clients.
b. Know when to ignore and when to correct undesirable behavior in clients and how to address such behaviors without setting up power struggles.
c. Praise and reward appropriate behaviors and redirect inappropriate behaviors.
d. Employ preventive and de-escalation techniques in crisis intervention.
e. Show appreciation and appropriate affection consistent with professional boundaries to clients without the gesture being misinterpreted.
f. Communicate effectively in both written and oral communication.
g. Knows normal patterns of human growth and development.
h. Function compatibly and participate constructively in a team environment and maintain emotional control and professional composure at all times
i. Plan, organize, and prioritize tasks to work efficiently without intensive supervision both independently and as a member of an interdisciplinary team.
j. Teaching and mentoring clients and personnel through effective leadership.
k. Administer first aid and CPR if necessary.
l. work under minimal supervision and exercise good financial and operational judgment.
m. Maintain computer literacy for assigned tasks
n. Serve as a member of a multidisciplinary team
8. Communicate promptly with Director of ICF-IID, House Manager and /or RN regarding needs and problems of individual ICF-IID clients.
9. Demonstrate a working knowledge of all Residential Services and Day Habilitation policies and procedures.
